Quick Guide for Club Treasurers

Bank Accounts

Your club should operate at least two separate bank accounts

  • Administration - this account is used for transactions involving member's funds - eg income from member's dues, tail twisting, dinner fees; expenses such as dues payments to District, meals for members, administrative costs
  • Activities - this account is used for transactions involving funds from the public - eg income from raffles, auctions, barbeques or similar fundraising activities, expenses such as donations, cost of materials for barbeques, etc

Many clubs also operate investment accounts to earn interest on funds held. Investment funds should be separated into Administration and Activities

All payments should be made by cheque, and all money received should be receipted and banked promptly.  

International Dues

As club treasurer, you will receive accounts direct from Lions International at your home address. Please note that these accounts are in US dollars. The exchange rate is shown on the top right corner of the acount. Multiply US dollars by the exchange rate to convert to Australian dollars.

Example: if the exchange rate is 1.18 and your account is for US$30 : 30 x 1.18 = 35.4 so you would need to pay AUD$35.40

Cheques for International dues are to be made payable to "Lions Clubs International". Send the top portion of the account with your cheque to the Tasmanian Cabinet Treasurer - do not send payments to Newcastle office or to the USA!

Australian Dues

In July and January, you will receive a dues account from the Cabinet Treasurer. This accounts covers all District and Multiple District dues, all essential insurance cover and a number of other items. The account is fully detailed. These accounts are in Australian dollars. It is permitted to pay these accounts as soon as you receive them and then ratify the payment at your next club meeting. Cheques are to be made payable to "Lions Clubs International - District 201T1". Payment is to be sent to the Tasmanian Cabinet Treasurer. Payment should be made by the end of August (for the July billing) and end of February (for the January billing) at the very latest.

Family Dues Discount

All club members who are entered as family member on the WMMR records system are eligible to receive the Family Dues discount. You club will be billed at the discount rate (half price) for these members. If you need guidance with this, please contact the Cabinet Treasurer

Please make sure you pass the discounts on to those members who are eligible.

As Club Treasurer, you have access to the WMMR system to see that your members' information is accurate. (You cannot make changes, only the Club Secretary can do that).  Before you commence your term as treasurer, you should receive details by mail from LCI on how to access the WMMR system. Training on use of WMMR system is available online and will also be covered in the Incoming Officer Seminars which will be run in May at a location near you.

Donations to Campaign Sight First II

All donations to this most worthy cause should be sent to the Cabinet Treasurer. All donations will gain your club credit towards a Melvin Jones Fellowship. Cheques are to be made payable to "Lions Clubs International - District 201T1".  Include a note indicating the donation is for Campaign Sight First II. Applications for a Melvin Jones Fellowship can be sent with the donation if desired. If you need guidance with this, please contact the Cabinet Treasurer
